# CalcDesk — Privacy Policy
> **DRAFT — informational only, not legal advice. Have a licensed attorney review before relying on this.**
**Publisher:** Gorman Field Services, LLC (a Florida single-member limited liability company), Brandon, Florida
**Contact:** support@tgorman.com
**Effective date:** July 16, 2026
**Version:** 1.2

## The short version
**CalcDesk was built to collect as little as possible.**
- **The calculators collect nothing.** Every calculation (Proctor, concrete strength, sieve gradation, nuclear-gauge standard count, asphalt density, Atterberg limits, LBR, organics, and the rest) runs entirely on your own device. The numbers you type in are processed on your device and are **not** sent to us, not stored on our servers, and not saved by the App after you close it.
- **No account, no password.** You do not create a traditional account. If you subscribe, access is tied to a license token stored in a cookie on your device (details in Section 3) plus, if you pay, the billing information Stripe collects to process your subscription (Section 4).
- **No advertising, no analytics, no third-party trackers.** We do not use advertising networks, tracking pixels, or third-party analytics tools in the App.
- **The only thing we ever receive** is limited billing/license data if you subscribe (Section 4). The App has no other feature that sends us anything.
Privacy is a genuine feature of this App, not just a policy. We designed it that way on purpose.
---
## 1. Scope
This Privacy Policy explains how Gorman Field Services, LLC ("GFS," "we," "us") handles information in connection with the **CalcDesk** application (the "App"), whether you use it as a mobile web app, a browser app, or a version from an app store.
## 2. The Calculators — No Data Collection
All calculators operate **locally on your device**. The measurements and values you enter, and the results the App computes, stay on your device during your session. GFS does **not**:
- receive, transmit, or store your calculator inputs or results;
- log which calculators you use;
- assign you an advertising identifier or behavioral profile.
Because the calculators run on-device and store nothing, GFS has no access to your calculation data and cannot retrieve, recover, or disclose it.
## 3. The License Cookie
If you subscribe or receive a complimentary internal-access link, the App sets one first-party cookie (`cd_license`) containing a random access token. This cookie is:
- **Functional, not tracking.** It exists solely so the App can check "does this browser currently have a valid license" — it is not used for advertising, analytics, or cross-site tracking, and is never shared with any ad or analytics network (we don't use any).
- Sent only to our own server (the CalcDesk Worker) to look up your license status.
- Valid for up to 400 days or until your subscription ends, whichever is sooner.
If you lose access to this cookie (new device, cleared browser data), Section 4 describes how to restore access.
## 4. Payment, Subscription, and License-Recovery Data
Paid access is billed through **Stripe**, our payment processor. When you subscribe:
- **We never see or store your card number.** Checkout happens on Stripe's own hosted page; GFS's server never receives your full card details.
- **We do receive and store, tied to your subscription:** the email address you provide at checkout, Stripe's customer and subscription identifiers, and your subscription status (active / past due / canceled). This is what lets the App recognize a paying customer and lets Stripe's own billing-failure retry process work without cutting you off after one declined card.
- **License recovery by email.** If you lose your license cookie (new device, cleared browser), you can request a restore link by entering your email in the App. If that email matches an active subscription, we email a one-time link (valid ~30 minutes) to that address, sent via Cloudflare's email service, that restores access on the device you open it from. We do not confirm or deny whether a given email has a subscription in the response shown on screen — only the email itself (sent to an address you must already control) reveals that.
- Stripe processes and stores your billing/payment details under its own privacy policy as an independent controller/processor; see [stripe.com/privacy](https://stripe.com/privacy).
## 4a. Suggestion Box
The App has an optional **Suggestion box** (footer → "Suggestion box"). It is entirely
voluntary; nothing is sent unless you type something and press Send. When you do, we
store:
- **the text you wrote**, and the name of the sheet you had open when you sent it (so a
report like "this field is in the wrong order" is actionable);
- **a timestamp**; and
- **a salted, one-way hash of your IP address — not the IP address itself.** The salt
changes every day, which lets us cap abuse (a limited number of submissions per device
per day) without retaining anything that identifies you, and means hashes from
different days cannot be linked to each other.
We do **not** ask for or attach your name, email, licence or subscription to a
suggestion. A suggestion is not linked to your account.
**Please do not include client-proprietary information, personal information about
anyone, or anything confidential.** This is a plain database used to decide what to build
next, not a secure or privileged channel. The App says so at the point of entry.
Suggestions are deleted automatically after **400 days** by a scheduled job — the
retention is enforced in code, not merely promised here.
## 5. How We Use Information We Collect
We use the information in Sections 3–4 only to:
- provide, maintain, and restore your access to the paid App;
- process billing and respond to billing issues;
- fix bugs and improve the App;
- prevent abuse (rate limiting, license-recovery abuse); and
- comply with law if required.
We do **not** use it for advertising, profiling, or automated decision-making.
## 6. We Do Not Sell or Share Your Data
GFS does **not** sell, rent, trade, or share your information with third parties for their own use, and we do not use it for cross-context behavioral advertising. The third parties involved in operating the App are **Cloudflare** (hosting, database, and outbound email, as a service provider/processor) and **Stripe** (payment processing, as described in Section 4). We may also disclose information if required by law, subpoena, or valid legal process, or to protect our rights, safety, or property.
## 7. Retention
We retain license and billing-linked records (Section 4) for as long as your subscription is active plus a reasonable period after cancellation for support and legal/accounting purposes. Contact us (Section 11) for reasonable deletion requests where we are able to identify the record.
## 8. No Third-Party Tracking, Analytics, or Ads
The App does not use advertising SDKs or third-party analytics. We do not track you across apps or websites. The Suggestion box (Section 4a) is the only feature that sends anything you author to us, and only when you press Send. **If GFS ever adds analytics or any other new data collection in the future, we will update this Privacy Policy, change the effective date, and update the app-store privacy disclosures before that collection begins.**
## 9. Children's Privacy
The App is a professional/technical tool intended for adults and is not directed to children. GFS does not knowingly collect personal information from children under 13 (or under the minimum age in your jurisdiction). If you believe a child has sent us information (for example, through a subscription email address), contact us and we will delete it.
## 10. Your Choices
For anything related to your subscription or license, including a request to delete billing-linked records after cancellation, contact us using Section 11.
Depending on where you live, you may have rights under privacy laws such as the California Consumer Privacy Act (CCPA/CPRA) or other state laws (for example, to know, delete, or opt out of "sale"/"sharing" — of which we do none). To exercise any such right, email us. We will respond as required by applicable law. We do not discriminate against you for exercising your rights.

## 12. App-Store Privacy Labels
App stores require developers to disclose data practices, and those disclosures must match this policy:
- **Apple App Store — "Privacy Nutrition Label":** the calculators would be disclosed as **"Data Not Collected."** A subscription build would disclose **email address and payment info ("Financial Info," via Stripe) linked to identity for App Functionality (subscription management).**
- **Google Play — "Data Safety" section:** would similarly declare that the calculators collect no data, and that a subscription collects email and payment data (via Stripe) for account/app functionality — none shared with third parties for their own purposes, and none sold.
These labels must be kept accurate. If the App's data practices change (the Suggestion box in Section 4a is the most recent such change, added 2026-07-30 and disclosed here in the same release), the store labels and this policy must be updated together, before that collection begins.
## 13. Security
We use reasonable measures to protect the data described here, including transmission over encrypted connections (HTTPS), hashed (not plaintext) storage of license tokens, and storage on the Cloudflare platform; payment details are handled by Stripe under its own security program. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
## 14. International Users
The App is operated from the United States. If you use the App from outside the U.S., your information will be processed in the U.S. (and, for payments, wherever Stripe processes transactions), where privacy laws may differ from those in your location.
## 15. Changes to This Policy
We may update this Privacy Policy from time to time. The current version, with its effective date, will be posted and made available in or through the App and, if provided, at the App's privacy-policy URL. Material changes to data collection will be reflected here and in the app-store labels before they take effect.
